This position is responsible for supporting several Division II membership-facing initiatives and programs that benefit administrators, coaches, faculty and student-athletes. It is also responsible for providing administrative support to select members of the Division II team.
Job Responsibilities
- Collaborate with team members to host several Division II events, including the Professional Development Workshop, Division II’s programming at the NCAA Inclusion Forum, Women Leaders in Sports and Minority Opportunities Athletic Association Governance Academies, Faculty Athletics Representative Institute, SAAC Super Region Convention and APPLE Training Institute.
- Support several Division II programs, including the NCAA/Division II Athletics Directors Association (D2ADA) Women and Ethnic Minorities Mentoring Program, NCAA/D2ADA New Athletics Director Orientation, Degree Completion Award Program and Coaches Connection Program.
- Provide administrative support to the Division II director and two associate directors.
- Support the Division II team in conducting the annual NCAA Convention, including helping support the Division II education sessions and ordering membership gifts.
- Manage the meeting logistics for in-person and virtual meetings, including entering meeting requests into the Short’s Travel portal, reviewing BEOs, creating meeting agendas, creating/updating meeting materials, styling materials, creating meeting packets and distributing the materials.
- Support the Division II Award of Excellence, including the nomination and selection processes and the recognition of honorees.
- Support the Dr. Dave Pariser Faculty Mentor Award, including recognizing the honoree.
- Utilize Salesforce to send the monthly Division II newsletter and biannual Division II SAAC newsletter.
- Submit requisitions on behalf of the Division II governance team.
- Submit and oversee the progress of the team’s Section 127 projects.
- Request updates to Division II content on ncaa.org.
- Oversee the Division II inventory at the NCAA warehouse.
- Manage the order of the division’s fan in a bags and shipping of the items to all Division II championships.
- Coordinate the Division II committee member’s welcome gift.
- Initiate the hiring process for Division II’s social media contacts at championships.
- Support the execution of the Division II National Championships Festival.
- Serve as the Division II governance IT liaison.
- Other duties as assigned.
Job Requirements
- High school diploma or equivalent required.
- Bachelor’s degree preferred.
- Three to five years of related work and/or membership experience preferred.
- Excellent written and verbal communication skills.
- Meticulous attention to detail.
- Strong organizational and administrative skills.
- Ability to provide excellent customer service.
- Proficiency in Microsoft Office Word, Excel and PowerPoint.
- Ability to work independently and under pressure.
- Ability to balance multiple responsibilities.
- Willingness to assess processes and systems and explore continuous improvements to improve efficiency.
- Estimated Travel Required <10%. Travel includes the NCAA Convention and Division II National Championships Festival.
- This position will be based out of the national office in Indianapolis, Indiana. Current work environment is hybrid; 3 days in the office and 2 days are remote.
